Welcome to NGO Desk

Everyone

NGO Desk is a donation management network that connects verified charitable organizations with donors and volunteers, backed by the DMS (Donation Management System) — the record-keeping dashboard NGOs use every day to track donors, donations, campaigns, and the people they serve.

This manual is organized around the three ways people use NGO Desk:

Key concepts

Everyone

A handful of terms come up throughout the platform. Here's what they mean.

VolunteerSomeone who applies to help an NGO and, once approved, logs their own activities in a personal portal.

Creating your account

There's no single "sign up" button — how you register depends on your role. Use the Register menu on any public page, or jump to the relevant section below.

NGO staff accounts (beyond the first admin) aren't self-registered — they're created by the NGO's own admin from inside the DMS. See Users, roles & settings.

Browsing NGOs & campaigns

Donors & public

Every approved NGO gets a public profile, and every active campaign gets its own shareable page — no login required to browse.

  • NGOs — the full directory of verified organizations on the network.
  • Active campaigns — every currently-running fundraising drive, with live progress bars.
  • Each campaign page shows the amount raised so far, the target, a description, and cover image — and includes WhatsApp, Facebook, X, and LinkedIn share buttons plus a copy-link option.

Registering as a donor

Donors

Donor registration is per-NGO — you're registering to give to a specific organization, and the form is branded with that NGO's name, logo, and colors.

  1. Open Register → As a Donor. If you followed an NGO's own link, that NGO is pre-selected; otherwise pick one from the searchable dropdown.
  2. Fill in your personal details and, where requested, a national ID (CNIC) number and a copy of your ID — this is how the NGO verifies who's sponsoring through them.
  3. Choose the payment account shown for that NGO (bank transfer, mobile wallet like JazzCash/Easypaisa, or a "details via WhatsApp" note if none are listed) and record your first commitment.
  4. Submit — your registration and initial commitment are sent to the NGO for verification.
Recurring vs one-time

A "commitment" is a good-faith monthly sponsorship pledge, not an auto-charge — you pay each month yourself (or the NGO records it for you), and you can stop at any time by contacting the NGO.

Making a donation

Donors

There are two ways to give, depending on where you are and how you'd like to pay.

From a campaign page

Every campaign's Donate button leads to that campaign's own donor form (or a card checkout for donors giving from abroad, where enabled). Local bank transfer and mobile wallets suit nearby donors; card payment suits international givers.

As an ongoing sponsor

If you've already registered as a donor with an NGO (see above), you continue giving through the payment details that NGO shared with you — the NGO records each payment against your profile so your full giving history stays in one place.

Payments are final

As with most donation platforms, payments can't be refunded through the platform once made — double-check the amount, currency, and recipient NGO before confirming. See the Terms & Conditions for details.

Tracking your donation

Donors

Use Track Donation in the top menu to look up your giving history without needing a login — enter the ID/CNIC you registered with to see your recorded donations and their status.

Registering your NGO

Prospective NGOs

Joining the network gets your organization a public profile, campaign pages, and a full DMS dashboard once approved.

  1. Open Register → Register a NGO and fill in your organization's details.
  2. Pick a plan on the form — see Pricing for current Monthly / 6-month / Annual options and what's included.
  3. Pay the package fee to one of the listed platform accounts (bank transfer, JazzCash, Easypaisa, or Wise for card payments) and upload your payment proof, or use the "pay by card" link where shown.
  4. Submit. Your NGO and its first admin account are created, but stay inactive until reviewed.

Renewals

You'll get an automatic email reminder 30 days, 7 days, and on the day your plan expires. Renew from inside the DMS — see Subscription & billing.

Applying to volunteer

Volunteers

Anyone can apply to volunteer with an NGO on the network — no invitation needed.

  1. Open Register → As a Volunteer. If you used an NGO's own link, that NGO is preselected; otherwise search for it from the dropdown.
  2. Fill in your profile: profession, date of birth, an ID document, and your purpose for joining.
  3. Choose your own password — you'll use it to log in once approved.
  4. Submit. You'll get a confirmation email that your application is pending review by that NGO.
  5. Once the NGO approves you, you'll receive an approval email and can log in straight away.
Added directly by an NGO?

NGO staff can also create a volunteer account for you directly from the admin panel — in that case you'll receive your login credentials by email instead of choosing your own password.

Once approved and logged in, volunteers land on their own portal — separate from the NGO admin dashboard.

Logging an activity

  1. From your portal, click Add Activity and give it a title and description.
  2. Set a status — Pending, In Progress, Paused, or Completed — and a start/expected end date.
  3. Optionally attach one or more files as evidence or supporting documents.
  4. Save. The NGO's admin is notified immediately, and can see the activity in their own volunteer view.

You can edit an activity or change its status at any time from the same list. Your Profile page lets you update most details — your email is read-only there by design, since it's tied to your login.

Dashboard overview

After logging in at the DMS, NGO admins and staff land on the Dashboard — a snapshot of the organization's activity, with a sidebar to every module covered in this section.

The dashboard highlights total donors, donations recorded, active campaigns, and recent activity, so you can see how things are trending without opening a separate report.

The header bar above the dashboard carries a few tools that follow you into every module:

  • Global search — start typing in the search box to find any donor, group, orphan, widow, institution, or campaign at your NGO in seconds, with a direct link to its record.
  • Dark mode — the moon icon next to search switches the whole DMS to a dark theme, easier on the eyes for late-night work.
  • Notifications bell — flags new donor or volunteer registrations and support replies as they happen, so nothing sits unnoticed.

Managing donors

The Donors module is the NGO's donor register — replacing spreadsheets or paper ledgers.

  1. From the sidebar, click Donors to see every donor recorded for your NGO, with quick search and filters.
  2. Click Add Donor to record someone manually (walk-in donors, phone pledges, or anyone who didn't self-register on the public site).
  3. Open a donor's profile to see their full details, ID/verification info, and complete donation/commitment history in one place.
  4. Donors who stop giving can be moved to the Inactive list without deleting their history.

Donors who registered themselves through the public site (see Registering as a donor) appear here automatically, ready for your team to verify.

Recording donations

Every donation is logged against a donor, a campaign or purpose, an amount, currency, and payment method — so nothing gets recorded twice or lost.

  1. Open Donations from the sidebar to see everything recorded so far, split into Paid and Unpaid/pending views.
  2. Click Add Donation, choose the donor and campaign (or a general purpose), and enter the amount, currency, and payment method (bank transfer, mobile wallet, cash, or card).
  3. Attach a transaction reference or payment proof where relevant.
  4. Save — the donation immediately counts toward the campaign's public progress bar and the donor's history.
Unpaid donors

The Unpaid pane lists donors with an open commitment but no payment recorded yet this period — handy for follow-up calls or reminders.

Donor groups

Groups let you organize donors together — for a mosque, office, or community collection drive — under a dedicated group manager who tracks that group's commitments and collections.

  1. Open Groups and click Create Group to name it and assign a manager.
  2. Add existing donors to the group, or attach new ones as you register them.
  3. Open a group to see all its donors, their combined commitments, and collection status in one screen.

Groups are also how beneficiary funding works — see the next section.

Beneficiaries — orphans, widows & institutions

Sponsorship programs are tracked through three beneficiary types, each with its own record: Orphans, Widows, and Institutions (mosques, churches, and similar).

  1. Open Orphans, Widows, or Institutions from the sidebar and click Add to create a record — name, guardian/contact details, address, ID number, and photo where relevant.
  2. Link the beneficiary to a group — donations are recorded at the group level, and this module estimates each beneficiary's share of the group's funding.
  3. Open a beneficiary's profile to see their linked group and estimated funding, and export a monthly report where needed.
Why "estimated" funding

Because donations are recorded per group rather than per individual, each beneficiary's funding total is the group's donations split evenly across everyone in it — a practical estimate, not an exact per-person ledger.

Campaigns

Campaigns are how your NGO raises money publicly — each one gets a shareable page with a live progress bar the moment it's active.

  1. Open Campaigns and click Create Campaign — add a title, description, cover image, and fundraising target.
  2. Set its status to Active to publish it — it immediately appears on your NGO's public page and the site-wide active campaigns list.
  3. Share the campaign's public link directly, or use the built-in WhatsApp/Facebook/X/LinkedIn buttons on the page itself.
  4. Track live progress from the Campaigns list, and mark a campaign Completed or Cancelled when it's done.

Managing volunteers

The admin-side Volunteers module handles approvals and gives you visibility into every volunteer's logged activity.

  1. Open Volunteers to see pending public applications alongside your existing volunteer roster.
  2. Approve or Reject pending applications — approving sends the volunteer a confirmation email so they can log in.
  3. Use Create to add a volunteer directly yourself, optionally auto-generating their password (they'll receive it by email along with your NGO's name and their stated purpose for joining).
  4. Open Activities to see every logged activity across every volunteer at your NGO — useful for board reporting or recognizing active volunteers.

Every activity a volunteer creates, edits, or completes raises a notification to your NGO's admins in the header bell, so nothing gets missed.

Reporting turns your recorded data into print-ready summaries you can share with your board or donors.

Users, roles & settings

NGO admin panel

Only your NGO's admin can add staff logins — there's no public "join our team" form, by design.

  1. Open Users and click Add User to create a staff login with a name, email, and role.
  2. Edit or deactivate a user at any time — deactivating blocks login without deleting their activity history.
  3. Under Settings, manage your NGO's own payment accounts (the ones donors see on your branded donor form) and general organization details.
Two-factor authentication

From your own Profile, you can turn on two-factor authentication (authenticator app or code-based) for extra login security.

Subscription & billing

Your NGO's DMS access runs on the plan chosen at registration — Monthly, 6-month, or Annual (see current terms on Pricing).

  1. You'll get an automatic reminder email 30 days, 7 days, and on the day your plan expires.
  2. If access locks after expiry, log in and you'll be routed to a Renew screen instead of the dashboard.
  3. Pick a plan, pay to one of the listed accounts (or by card where enabled), and upload proof — your access resumes once confirmed.

  • Use the live chat widget (bottom corner of any page) for a quick question — it's backed by a real support inbox on our side, not a bot.
